Sharing OCs: Overview

Below you’ll find the Cliff Notes for creating a room. If you need additional help, continue reading past this section for more detailed instructions.

Remember: the ONLY way to share an OC is thru a room. When you create a room, you’re creating a digital workspace for users to come together, view, edit, and discuss an Outcome Chain.

Creating a room is simple: click on “Create a Room” under the “My Rooms” tab. Choose the OC you want to share, then invite internal and external users to collaborate. All you’ll need is an email.

You can even add a customized message to users when sending out an invite.

Sharing OCs: Specific Step-By-Step Instructions

Start the Room Sharing Workflow

1. The room owner can select from existing OCs in “My OCs” to be shared.

2. Invite room recipients and create a room.

As the room creator, enter the email addresses of users you want to invite. Specify whether the invitees should have view-only or edit access to the Outcome Chains being shared.

Clicking on “Customize” opens additional options to customize the look and feel of the room. These options include uploading the company logos or changing the background image.

Other Methods of Sharing OCs
There are other methods of sharing OCs to support different use cases.

1. Share OCs via OC Templates
To make an OC available systematically to all users on the team, the owner of the OC can convert it to an OC template. This is the recommended way of sharing to an internal audience. This will automatically publish the OC to team’s OC templates environment, where all registered team users will have view-only access to the templates. After converting an OC into an OC template, it’s recommended to add the OC template to an existing category group (such as industry vertical, product family, user groups, etc.). Doing so can help organize OC templates by topic, and allow other team members to quickly find and retrieve the OC templates they need.

2. Link Space Sharing
Use this method of sharing when you want to share a particular link space. Sharing via a link space follows the same workflow as if you’re sharing an OC (through a room). The only difference is that the recipient will be invited to the link space inside the OC. Once they finish viewing content inside that link space, they will be able to explore the rest of the OC.

3. Share via Template Categories
This is an ideal way to share a category of templates across multiple teams. In a controlled environment, you may want to have a Sandbox environment where ALL OC templates resides. Access to the Sandbox is only given to the Admin, SMEs, and anyone involved in the development of OCs. Templates in the Sandbox would need to be organized by categories. Individual teams are set up for different regions or organizations within the company. To make the templates available in each of the teams, the Admin would need to share the template categories from the Sandbox team with the individual teams.

4. Share via Template Category URLs
The recommended way to share groups of templates in SharePoint or other internal/external sites in through template category URLs. Any one who clicks on the URL will be required to log in. The system will only grant the user access to the template category if they belong to the team that the category was shared with.
